Position Program and Event Coordinator

The program and event coordinator is responsible to and reports to the director and assistant director of Parks, Recreation, and Community Services, providing administrative and organizational support in performing and coordinating the following tasks, with an emphasis on special events and enrichment classes.

Knowledge, Skills and Duties:

  • Assist with office duties as pertains to general program registrations, answering phones, and preparing reports.
  • Available in office for assisting public with recreation and community services needs.
  • Work with director and assistant director in organizing, scheduling, planning and evaluation of existing in-house community events (ex. Trunk or Treat, tree lighting)
  • Coordinate with community service groups (Kiwanis/Rotary) in planning large special events (Freedom Festival, Country Fair, Arts in the Park).
  • Develop a seasonal schedule of special events utilizing township facilities. Examples: concerts, movies in the park, farmer’s market, car shows, etc.
  • Expand and develop enrichment classes for township residents of all ages. Coordinate with existing department programs (Artworks, Rompers).
  • Assist in publicity for events and programs prior to and following events.
  • Assist in updating online and in-person registration forms for seasonal registrations.
  • Experience with Community Pass or other online registration system.
  • Knowledge of municipal purchasing procedures to assist in obtaining quotes for supplies and services and updating director and assistant director on status of assigned tasks.
  • Knowledge of MSI or other online purchasing systems to enter orders, check balances, and compile reports as needed.
  • Compile monthly, quarterly, and end of year reports including, but not limited to, recreation enrichment programs, special events and other areas as assigned.
  • Available for occasional evening and weekend activities as needed. Provide onsite logistical event and program support.
  • Other related duties as needed.
  • Work as a member of a team, attend committee meetings as required.

Education/Professional Requirements:

  • Bachelor’s degree preferred
  • Two years or more of relevant work experience
  • Strong writing and communications skills
  • Proficient in Microsoft Office programs.
  • Special event/festival planning a plus.
